Job Description Summary

Basic Purpose

The RFP Business Development Specialist’s primary responsibility is to prepare ATIS’s response to formal RFP’s (also referred to as RFB, RFQ, ITB, etc.). This position serves as a dedicated resource to both support and execute RFP sales activities and enable the delivery of budgeted organic growth. This includes managing both new and existing ATIS customer bid opportunities focused within targeted industries to include education, healthcare, and government entities as well as others having a formal RFP procurement process. Additional duties include researching new opportunities, FOIA requests, , maintaining agency procurement registrations, managing RFP contract expiration dates and responding to proposal requests.

Scope

Under the direction of the Director of Business Development, this position will focus primarily on coordinating and executing all ATIS responses to RFP solicitations.

Reporting and Working Relationships

This position reports to the Director of Business Development and will collaborate with internal ATIS departments, i.e., Contracts, Regional QEI Supervisors, Human Resources, and others, to gather required bid information necessary in the response to RFP solicitations.

Primary Responsibilities (100%)

50%...Respond to RFP solicitations

Manage the proposal process including proactively researching, evaluating, screening, RFP clarification/question submissions and formal response to all RFPs for new prospective and current ATIS customers.

Drive collaboration efforts with internal ATIS resources to obtain all necessary information and documentation required for bid response.

Submit all bid responses via required means (bound hard copy, email, agencies procurement portal, etc.), delivering prior to the due date/time, deadline.

Maintain proper follow up communication with agency contacts, on all active bids.

Coordinate the execution of new contracts, providing proper notification to internal ATIS department contacts.

Document all prospect/customer business communications and bid opportunities within ATIS’s designated CRM system (NetSuite/HubSpot), ensuring all activity is current daily.

40%...Proactively build pipeline of new RFP bid opportunities

Daily monitoring of Bid Prime and other bid solicitation notification sources

Conduct research to identify all prospective RFP bid opportunities within the public and private education sectors(colleges, universities, school districts, etc.) and targeted government agencies and ensure that ATIS is added to the institutions bidders list.

Obtain and maintain the registration of ATIS with all applicable public agencies.

Source the relevant agency contacts for new account lead generation.

Maintain proper solicitation and follow up activity with agency contacts to develop and foster winning relationships.

Develop and manage a contract expiration calendar of ATIS’s existing RFP customers to ensure we are proactive in retraining the current ATIS account, as the incumbent bidder.

Proactively submit FOIA requests of past elevator inspections bids for all targeted public agencies and save documentation in organized folders on company share drive.

Achieve and or exceed assigned sales metrics and provide a weekly result update to management.

Coordinate with Spoke marketing team on updates to the ATIS proposal template and marketing materials, as deemed necessary.

Perform other related duties as assigned by management.

Qualifications

Can demonstrate ability to consistently achieve or exceed sales quotas, in a metrics driven sales role.

Clear understanding of government and education agencies procurement processes for building/facilities services.

Communication - Strong communication and stakeholder management skills, excellent presentation skills, able to communicate at all levels with both internal and external executives, regulators, and municipal officials.

Teamwork - Ability to interface and effectively work with various groups and cultures involved (partners, government, agencies, contractors, operations, etc.)

Can productively work in either a remote or corporate office environment, with/without direct supervision.

6. Excellent written, verbal, and interpersonal communication skills.

7. Proficient in use of Microsoft Office: Outlook, Word, Excel. Preferred proficiency in NetSuite and/or HubSpot.
